Privacy policy
This notice is published by NOVA CongressPort under Turkish Personal Data Protection Law No. 6698 and covers the novacongressport.com portal (membership, congress applications, subscriptions, support and platform correspondence).
On congress sites, the organising institution is the controller of participant and paper data; NOVA CongressPort processes that data only on the congress’s behalf to provide the service. Each congress site publishes its own notice.
How to exercise your rights

Send the request to the info address or the Privacy category of the contact form.

Identity
The request must match your account e-mail. Requests on behalf of others need authorisation.

Review
Requests are answered within the legal period. Records still under retention may not be deleted.

Answer
The answer goes to the e-mail address in your request.
What data is processed?
Name, e-mail, phone, institution and congress details for membership and applications; billing details for subscriptions and invoices; correspondence for support. Technical logs are kept for security.
Why is data processed?
To open accounts, review congress applications, set up and run congress sites, invoice, keep the service secure and meet legal obligations. The legal bases are those in Articles 5 and 6 of the law.
Who is data shared with?
Only with hosting, e-mail/SMS delivery and payment providers as far as the service needs. A congress’s data is seen by that congress’s authorised team.
How long is data kept?
For the duration of the service and the legal retention periods. Data of a congress whose licence ends is not deleted unless its owner asks; the site becomes a read-only archive.
Which rights can be exercised?
Under Article 11: access, rectification, erasure, knowing recipients and objection. Congress owners may also request an export of their data.
Is newsletter consent separate?
Yes. The newsletter goes only to addresses that opted in, and consent can be withdrawn at any time.
